About the role 

Reporting to the Senior Manager of HCM, Rubrik is seeking a HCM Consultant  to join our world-class People organization as we scale at a rapid pace. As a key member of the HCM team, this role will be responsible for owning, implementing, and using our HCM system test strategy for projects of all sizes related to Greenhouse and Workday.  This role will also develop our HCM support processes and provide direct support and maintenance services for all HCM systems (leveraging the People Services team to deliver first level support and partnering with IT for escalation issues requiring specialized technical support)

This position is located in Bangalore and works a hybrid schedule (3 days in the office)  

What you'll do

Testing and Documentation  (40% of time)

  • Develop and execute User Acceptance Testing (UAT) test plans and test scripts for system updates, enhancements, Workday releases and small to large scale projects, keeping employee experience in mind at all times. 
  • Leverage industry best practices to develop project testing strategy including creating a library of test cases, testing philosophy, outlining roles and responsibilities of all testers and stakeholders involved. 
  • Collaborate with COEs and cross-functional teams to review, refine and sign off on test cases.
  • Ensure transparency of the testing process and set clear expectations for UAT testers through comprehensive kickoff presentations and system demos.
  • Where needed, educate COEs on how to develop test cases for their projects to ensure buy-in and that all appropriate cases are covered.
  • Educate testers on “off road” testing strategies and approaches in addition to performing traditional detailed test case scenarios
  • Demonstrates expertise in efficiently prioritizing identified issues and collaborating seamlessly with IT to resolve them, ensuring transparency and clear communication of resolution progress to testers and stakeholders.
  • Assist in thorough creation of user guides, Standard Operating Procedures (SOPs), and training material for internal team use and end users. 

Systems Maintenance & Support (40% of time)

  • Conduct comprehensive training for the People Services Team to effectively deliver Tier 1 support in Greenhouse and Workday. Ability to use the "train the trainer" approach for sustained knowledge transfer.
  • Personally deliver expert Tier 2 support for Greenhouse and Workday, ensuring timely and efficient resolution of complex issues.
  • Partner with IT to develop philosophy, approach, and process for Tier 3 support escalations, working closely with IT to support in the resolution of Tier 3 support case escalations. 
  • Provide cross-team training to team members in Palo Alto to ensure process consistency and team members are effectively trained for sufficient back up support as needed. 
  • Proactively seek and implement opportunities to enhance system processes, usability, and efficiency, with a strong emphasis on optimizing employee experience.
  • Partner with the Data Management to develop standard and ad hoc reports as needed, ensuring data integrity and meeting decision-making requirements. 
  • Perform audits of data, within Greenhouse or Workday to preserve its integrity and accuracy. 

Small Project Requirement Definition and General Project Support (20% of time)

  • Partner with stakeholders to gather and document business requirements from small to large enhancement requests, translating them into functional solutions in partnership with IT.
  • Participate as Peer Reviewer for Greenhouse or Workday related systems projects as requested.

Experience you'll need

  • BA/BS (or equivalent) in Business, Information Systems, HR, or similar field
  • 6+ yrs HR systems experience, including Workday, Greenhouse (desired) or other modern ATS system.  Docebo, Udemy, Qualtrics, and/or LumApps experience a plus.
  • 4+ years experience in developing test cases and managing testing work streams for projects
  • Strong understanding of all HR COE functions as well as cross functional teams such as Payroll, Equity, IT, Finance, etc.
  • Strong analytical, project management, and problem-solving abilities;
  • Obsessed with attention to detail; highly organized 
  • Flexible, fast paced, willing to work with ambiguity and think outside the box
  • Effective educator and compelling communicator.
  • Must demonstrate a high level of interpersonal skills to handle sensitive, confidential situations and an ability to interact with individuals at all levels of the organization required.
  • Proficient using Google Sheets and Excel for data analysis and modeling
  • Efficient at compiling lists of 100+ test cases and/or tickets, categorizing, analyzing, and reporting

NONDISCLOSURE AGREEMENT

In consideration of any disclosure of certain nonpublic or confidential information, you hereby enter into this Nondisclosure Agreement (the “Agreement”) and agree as follows:

  1. Confidential Information. In connection with a potential business relationship or other business purposes, Rubrik, Inc. (the “Company”) has granted you (the individual or entity named below) access, or may grant you access, to business, technical or other nonpublic information, materials and/or ideas (“Confidential Information,” which term shall include, without limitation, anything you learn or discover as a result of exposure to or analysis of any Confidential Information).
  2. Obligations. You will hold in confidence and will not possess or use (except as required to evaluate the proposed business relationship) or disclose any Confidential Information except information you can document which (i) is in the public domain through no fault of yours, (ii) was properly known to you, without restriction, prior to disclosure by Company or (iii) was properly disclosed to you by another person without restriction.   6. Disclaimer. Confidential Information is provided to you “as is” and the Company makes no warranties with respect to the Confidential Information or any materials provided by the Company.  In no event will the Company be liable for the accuracy or completeness of the Confidential Information.  You understand that nothing herein (i) requires the disclosure of any Confidential Information of the Company or (ii) requires the Company to proceed with any transaction or relationship.  You understand that this Agreement does not obligate the Company to disclose any information or negotiate or enter into any agreement or relationship.
  7. Miscellaneous.  The terms of this Agreement will remain in effect with respect to any particular Confidential Information until you can document that such Confidential Information falls into one of the exceptions stated in Section 2 above.  You acknowledge and agree that due to the unique nature of the Confidential Information, any breach of this Agreement would cause irreparable harm to Company for which damages are not an adequate remedy, and that Company shall therefore be entitled to equitable relief in addition to all other remedies available at law.  This Agreement is personal to you, nonassignable by you, governed by the internal laws of the State of California and may be modified or waived only in writing signed by both parties.  If any provision of this Agreement is found to be unenforceable, such provision will be limited or deleted to the minimum extent necessary so that the remaining terms remain in full force and effect.  The prevailing party in any dispute or legal action regarding the subject matter of this Agreement shall be entitled to recover attorneys’ fees and costs.
