HCM Consultant Palo Alto

 

Reporting to the Senior Manager of HCM, Rubrik is seeking an HCM Consultant to join our world-class People organization as we scale at a rapid pace. As a key member of the People team, this role will be responsible for harnessing our mission, values, and culture to provide strategic consulting, and in partnership with IT, manage projects and priorities for Workday HCM, Greenhouse, and other HR applications.

This position is located in Palo Alto and works a hybrid schedule (3 days in the office)  This role is responsible for HCM consulting and advising to various People Team COEs as well as cross-functional teams such as Finance, Stock Admin, Payroll, and other groups requiring People data.  Once a project is approved, this role will create or drive the creation of project requirements, develop business process design, provide requirements and feedback on test case creation, support change management, business readiness, program roll-out and provide support for time sensitive issues.  Fostering a strong partnership with IT is key as their team manages configuration, build, deployment, complex reporting/data loads, and other technical project work.  This is an exciting opportunity to combine strategy with a lot of creativity and cross functional partnership to drive business impact.

 

Project Consulting and Intake Request Management (20% of time) 

  • Work with customer groups (Total Rewards, Talent Acquisition, Talent Development, People Operations, and others) to gather new system requirements and create project and budget justification analysis and presentations.
  • Drive clean project and task request data in ticketing system, ensure high level descriptions and other relevant data is available to create a prioritized monthly recommended project list that aligns to resource availability, business group readiness, and business impact.  
  • Demonstrates expertise in efficiently prioritizing identified issues and collaborating seamlessly with IT to resolve them, ensuring transparency and clear communication of resolution progress to testers and stakeholders.
  • Keep current on key HR systems technology & trends; network with other companies and professional organizations to stay abreast of best practices in HR systems and reporting technology.
  • Act as a point of contact for all HR technology-related requests, ensuring clear communication and appropriate responses.
  • Analyze existing internal processes and systems to pinpoint areas for improvement and recommend innovative solutions that help our team, and cross-functional partnerships become more efficient and effective.
  • Proactively seek and implement areas for improvement or opportunities to enhance system processes, usability, and efficiency, with a strong emphasis on optimizing Rubrikan and team experience. 

 

HR Systems Project Requirement Definition and Business Process Mapping (25% of time)

  • Provide strategic consultation for our People team to thoroughly assess, define, and align business objectives with organizational goals.
  • Data driven decision-making: Leverage data and metrics to help drive and deliver actionable insights and strategic recommendations that enhance business outcomes.
  • Plan, gather and clearly document the business needs (requirements) of stakeholders using techniques like detailed requirements documentation, use cases, wireframes, current/future state process flows, etc.
  • Demonstrates expertise in efficiently prioritizing requirements based on business need and ROI.
  • Ability to conduct comprehensive fit-gap analysis of signed-off requirements against (Workday, Greenhouse, etc) system capabilities to thoroughly assess requirements feasibility and ensure alignment with technological solutions, in partnership with IT where applicable. 
  • Develop rough test case requirements to be leveraged by HCM team member in India responsible for project testing strategy and detailed case development
  • Demonstrates expertise in efficiently prioritizing identified issues and collaborating seamlessly with IT to resolve them, ensuring transparency and clear communication of resolution progress to testers and stakeholders.

 

Project Management, Change Management, Communication, and Training  (40% of time)

  • Manage project schedules, meeting invites, status reports, and deliverables.
  • Lead training sessions and workshops for end-users to ensure efficient system usage.
  • Develop and execute a change management plan in partnership with COEs, IT and Communication team to ensure smooth transitions for any system and process changes, including but not limited to, ensuring alignment on launch dates, providing recommendations, clarity and consistency in Workday online help text, user guides and resources across all functional areas.
  • Participate as Peer Reviewer for Greenhouse or Workday related systems projects as requested.
  • Maintain open lines of communication and transparency with all project stakeholders, ensuring all are informed of progress and any potential roadblocks.

 

Systems Maintenance & Support (15% of time).

  • Provide back-up and time sensitive support for HCM team member(s) in India that manages all HCM System support activities.

Desired Qualifications

  • BA/BS (or equivalent) in Business, Information Systems, HR, or similar field
  • 7+ yrs HR systems experience, including Workday, Greenhouse (desired) or other modern ATS system.  Docebo, Qualtrics, and/or LumApps experience a plus.
  • 4+ years experience in managing HR technology projects
  • Strong understanding of all HR COE functions as well as cross functional teams such as Payroll, Equity, IT, Finance, etc.
  • Strong analytical, project management, and problem-solving abilities
  • Obsessed with attention to detail; highly organized 
  • Flexible, fast paced, willing to work with ambiguity and think outside the box
  • Thoughtful listener, effective educator, influential consultant, and compelling communicator.
  • Proficient using Google Sheets and Excel for data analysis and modeling
  • Efficient at compiling lists of 100+ requests, categorizing, analyzing, and recommending prioritization and a roadmap to complete the work (or cancel/defer requests)
  • Exceptional project management skills required: successful experience managing multiple complex technology projects simultaneously with full responsibility for client mgmt, requirements gathering, change mgmt, reporting, business process change, and support roll-out.

The minimum and maximum base salaries for this role are posted below; additionally, the role is eligible for bonus potential, equity and benefits. The range displayed reflects the minimum and maximum target for new hire salaries for the role based on U.S. location. Within the range, the salary offered will be determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
